Strengthening Our Payment System for Global Scale and Reliability

Samuel Mäder

Enhancing Payment Accuracy Across the Board

At GlobalAssist, we’ve always taken pride in the accuracy of our payment processes — both incoming payments from customers and outgoing payments to local suppliers. So far, our Booking and Payment Managers have done an excellent job manually tracking and verifying transactions. However, as we prepare to scale across dozens of countries using a remote team model in developing regions, we knew we needed to build a more reliable and scalable system.

Introducing Customer and Supplier Balances

One of our key innovations has been the implementation of real-time balances for every customer and supplier. Each user now essentially has a GlobalAssist account. When a customer makes a payment, their balance increases; when a booking is confirmed, it decreases. Cancellations or refunds automatically adjust the balance. This gives us full visibility and confidence that no customer is overcharged or undercharged.

The same applies to our suppliers. When a booking is confirmed, the supplier’s balance increases. When a payment is made or a booking is canceled, their balance decreases. This balance system allows us to verify that every payout is accurate — even before it's made.

More Than Trust: A Systemic Guarantee

While we've never had issues thanks to our meticulous team, relying solely on manual precision isn’t a safe long-term strategy. Our new system doesn't just support our team — it empowers them. Every payment updates a visible balance, allowing our team to track discrepancies in real-time. If something’s off, they get instant alerts and can resolve the issue immediately.

Localized Payment Infrastructure for Better Control

To further strengthen our operations, we’ve expanded our infrastructure: each country now has a dedicated Stripe account for incoming payments and a Revolut account for banking operations. We also maintain local Mobile Money accounts for supplier payments. This structure gives us better control over funds movement within each market.

Challenges Ahead: Preparing for Growth

While the current setup is effective, we’re already looking ahead. Our Revolut setup is still based on personal accounts, which limits the number of sub-accounts we can create. Switching to a full business setup is a necessary next step.

Another question we’re exploring is how to send payments globally in real time without fees. Today, our combination of Revolut and Mobile Money provides a perfect solution in some countries — but we know this won’t work everywhere. For now, we’re focused on solving current challenges country by country, starting with Kenya.

Building for Tomorrow, Today

Ultimately, our improvements in payment tracking and infrastructure are foundational to our mission: building a scalable, reliable, and efficient operation that delivers 5-star service globally. As we grow, we’ll continue to adapt our payment infrastructure to fit the unique needs of each country while ensuring speed, cost-efficiency, and transparency.

This is how we build a platform ready for global scale — one smart improvement at a time.
